Hello friends today I want to share something which I find crucial to reach our goals & that is time management.
Companies spend lot's of money hiring people to motivate their staff to create a schedule in a professional way, to make the
team complete their project before deal line & work efficiently.
This skill requires a lot of trials & errors on your side till you manage to create a successful time table or goals. So
learning this skill is crucial to be efficient & finish projects before deal lines. I do want to warn you that you won't
always go by the schedule you created, real life events might/will make you postpone or not do some of them even ,your boss
might make a sudden call for meeting, or your wife/husband might want you to go to emergency room because he/she got into
an accident...etc you get the picture. While those things happen to you & sometimes you get tired of your schedule it's
necessary to stand up and create or go by your schedule again.
The important thing is to stand up again when you are feeling down & create a good schedule.
Now there are some key things which you need to know when making a schedule.
Number One: What is your Goals ?!
Many of us create a Goal and most of the time we leave that goal (at least that's how I used to be) this is because we don't
create a good goal. I mean we don't make the goal into smaller pieces which we can handle.
To create a successful goal you must do the following.
Define your goal, who is working with you on this goal ?! why do you do this ?! what is the benefit of this goal?!
What are the resources that you need to tackle this goal ?! When is the deal line ?!
After answering those questions you must make your goals into objectives. Objectives are smaller goals maybe they last for
a month or a week. Maybe your weekly objective is to do something. After creating Objective you make objectives into smaller
pieces. These will be your daily tasks.
How to create a task !?
This is where most people get it wrong and quit after they made a wrong step. Tasks are smaller chunks of your goals, you
organize these tasks according to their priority. When you create a task (daily To-Do List) it is necessary to write down
everything you want to do in that day. From the most important tasks on top to the less and less important tasks in bottom.
Before creating tasks I recommend imagining doing each task & feeling great about it, imagine yourself at the end of the day
happy & relaxed because you did what you needed to do for that day. This will give you a power boost and you will feel good
each time you cross a task on your list.
This is an example of one of my goals and how I made them into smaller chunks...etc
Goal: I want to get a CCNA certificate
I'm the only one working toward that goal. The reason I want to get this certificate is because I want to get CCIE certificate,
achieving this goal will make me a step closer to my dream, which is becoming a network specialist. The benefit of this
goal is I will get hired by communication companies which will give me experience & reputation + a step closer to CCIE.
The resources that I need to tackle this goal is a computer, necessary programs, CCNA book ,time & practice & lot's of
reading. The end date of this goal is 06/03/2015.
Objectives:
1/ Read the CCNA book, at least 3 chapters every week.
2/ Practice what I learn.
3/ Watch videos on youtube to gain more knowledge especially in security.
4/ Finish the CCNA course that I'm taking.
5/ Do the exam.
Tasks:
1/ Finish a chapter at least once every two days
2/ Watch at least 5 videos every possible day.
3/ Exam myself at end of each chapter.
...etc
You get the idea
Number Two: Create your schedule
Now you have many goals & tasks that is life we can't just do one thing
so what you do is you prioritize your tasks of the
day. Maybe today you need to travel, this is more important than reading, maybe today you have to learn how to apply a
notification class in android ..etc instead of doing some C++ job...etc you get the idea. You can't just create a schedule
of the week by doing the things above. You need to practice the art of turning the tasks/objectives into smaller pieces.
If you can't accomplish every task of the day don't worry you now know you didn't divide the task into manageable pieces.
Learn from it and make smaller pieces till you can handle it. At the end of each day of work or before you sleep practice
prioritizing your to do list and make sure you write everything & divide them into manageable pieces. There are some mistakes
which people make when creating their time-table or schedule and they are
1/ Not making the tasks into manageable pieces.
2/ Not giving realistic times.
You might say you only need 2 hours to do a particular task, this is your imagination you kicked people annoying you ..etc
so you have to give extra time, personally I give 30 mins more to most of the tasks I do. Maybe someone will bother me while
I'm doing that task, or my mind is shut so I take 15 mins brake, I still will have 15 more mins which I saved by giving
more time to a particular task.
If you are working in a company & I imagine you do you must know your time is gold. Don't let your peers annoy you each time
they can. If they come to your office, say I'm busy but I can give you 5 mins of my time. This will notify the other person
you value your time & you do something important so they will keep it short, if they don't keep it short or they don't go to
the point be polite and tell them can we go to the point because I have a very tight schedule ..etc (the answer depends on you).
While you want others to respect your time, be sure to have that attitude to your peers. When you go to your boss office or
anyone else when you see they are busy tell them in a polite manner , when can I have 5 mins of your time (give realistic time).
Share your schedule with your peers so they know when not to phone you or annoy you. And make sure to make of some of your
tasks a habit, I mean create a specific time of the day for doing some daily routine tasks such as checking emails.
Give 1 hour for checking emails & go through them & answer the important ones, after a while you will create a habbit & know
how to do this task efficiently after a while you will do this task in 30 mins
Here are some advice:
When you phone someone always tell them you will take a couple minutes of their time that you understand their time is valuable.
This will give them the idea that you respect their time, so they will do the same for you.
Don't be chatty to create room for unnecessary conversations, & when you phone your peers or anyone else in your company
keep it to the point, make them know why you call them ,especially your boss, many bosses don't want the chat thingy
because everyone is calling them for problems they have tight schedule so respect their time & at end of every conversation
tell them thanks you were much help even if they weren't. Giving thanks to someone is always good
knowing someone
appreciate your work is always awesome.
This is a simple to do list I didn't write every single task but this is a to do list that I want you to practice to create.
At first you might not write the time, it's OK, prioritize your list for a week and after getting better and better at
creating to-do list. After that you must know what time you need to do something sadly I can't help on that

1/ Wake up at 08:00 AM
2/ Eat & go to transport station. 8:45 AM
3/ Travel to another city to see the house I want to rent. 09:00 AM
4/ Come back to my home town. 01:00 PM
5/ Go to CCNA lesson 03:00 PM
6/ Sleep. 06:30 PM
7/ Wake up & eat dinner . 08:30 PM
8/ Review lesson
9/ Code android app
10/ Do my prayers
11/ ...etc
Number Three: Create Goal time laps
This is going from the main goal backwards to the first step. You create these time laps in weeks.
Ex:
Step10 week.../ Get CCNA certificate
Step09 week.../ Do CCNA exam
Step08 week.../ Review my notes.
Step07 week.../ Finish the book
Step06 week.../ Finish last part of book
Step05 week.../ Practice what I learned
.......
.......
Step00 week.../ Start first chapter of the book
Anyways I hope I gave a good thread & gave a good idea of what you need to do to create a good todo list &
approach your goals & hopefully create a better schedule
sadly that last one depends on you
